Re: Report in FM 6 or 7

Thanks for the heads up on that.. I wasn't really aware that you could
do that on the page setup.. Never used that function.. doh.
Also the fonts, as she does use some older Brody fonts.
I'll be playing with it once I get my copy of 8... I had 7, and a trial
of 8... I hadn't used my upgrade coupon yet.. So I'll be getting it
shortly.

It *should* keep the page setup.

One way to help page-setup-proof a layout is to specify the margins
explicitly, using the Printing tab in Layouts--> Layout Setup. Check the box
for "Use fixed page margins" and enter your values. If you don't use this
option, FileMaker grabs the information from the printer driver, which can
vary from one version to the next of that driver.

In fact, you may want to make a copy of the 6-version file and just check
that box prior to converting the copy, on sensitive layouts.

A potential "gotcha" with going to FileMaker 8 from 6 is that FileMaker
stopped supporting Type 1 fonts in version 7. If your friend uses any Type 1
fonts, she should convert them with a utility such as CrossFont (free,
fully-function, 15-day trial):

Ok,
My friend said they wanted to go ahead and upgrade to Filemaker 8..
But her concern is that she has >ALOT< (lets say 40 or 50) reports that
she runs and they are very precise as some of them have to print in
pre-printed forms and such... She is REALLY picky about the forms she
hands out to parents and stuff.
Every time she has done an upgrade to the OS or Filemaker, it has
screwed these up and she has spent weeks fixing the pages.
So- Should I expect to help her sort through these same changes with an
upgrade from 6 to 8? Or will it keep the page setup and such?
Please adivse on this- and then , I get to attack this report again in
FM 8 if the printing won't screw us up completely.
Apparently doing this report will save her about 10 hours a week of
work... so she is willing to go through the upgrade pain if she HAS to
to do the report.
sigh

Please advise.. and I do appreciate the help and patience.

There's no guarantee that acts will be in any predictable order. This is
why
you cannot sort by AgeDivision_Category (ever) and why the Export/Import
trick won't work. If they want to put Tap before Jazz for example, on an
exception basis, then the acts will appear out of order. If they have
some
act they want to be the last act of the show, they have to sort by their
manually-entered act number if there is to be a sort at all.

There's always white-out for those extra lines ;)

As Bill says, you can't "double-sort" in this case because every record
has a different Act number and so Filemaker sees the change in Act as a
break in the grouping which causes a sub-summary to be displayed /
printed. I doubt you can get around this with just Calculations.

There's two ways around this problem, either of which could be
automated by a script(s), both still using the "AgeDivision_Category"
calculation solution to obtain the report:

1. Sort, Export and Import

- Sort the records by the Act number (first Finding the
appropriate records if neccesary)

- Export the records

- Delete the records

- Re-import the records

- Sort the records by AgeDivision_Category

- Print / Preview the report

2. Separate "Report" File

- Save As A Copy of the current file using the "Clone"
option (if the database uses Global field values, then
use the "Compressed" option instead and then simply
delete all the records from the new copy of the file).
Keep this file as the "Report" file that is used to
just print / view the report

- Now whenever you want to view / print the report, go
to the original data file, Sort the records by the
Act number (first Finding the appropriate records if
neccesary)

- Go to the "Report" file and import the records (it
will only import the Found Set, but newer versions
of FileMaker import the ALL the records if the file
is closed)

- Sort the records by AgeDivision_Category

- Print / Preview the report

There is a third way to solve the problem which may or may not be
possible: standardise the way data is entered so that Acts are always
entered in the correct order.

By the way,
If the Age Division field contains data in the form "3-5 Age Division"
as in your example AND the age numbers go into double-digits (ie.
"10-13 Age Division") then you will have to pad extra zeros into the
AgeDivision_Category calculation so that it sorts in the proper numeric
order rather than 'text' order.
ie.
Without padding: 10-13 Age Division
3-5 Age Division
5-8 Age Division

With Padding: 03-05 Age Division
05-08 Age Division
10-13 Age Division
